Payroll Report Icons

Image:view.jpg View - a simple view of the contents of the report displayed in the TSPayroll window.

Image:preview.jpg Preview - a detailed version of the requested report. The results from this report can be exported into other programs.

Image:disk.jpg Save - saves the data in .dat format to be used by various Payroll programs

Image:save.jpg Exit - Saves and changes and closes the window

Payroll Report Terminology

  • Missing - finds all employees who have failed to submit timesheets for the requested period
  • Summary - a report breaking down the hours logged by employees towards particular Work Centres and Cost Centres.

Timesheet Reports

aeonscope Timesheet Payroll reports cover the activity over any 14 day period, including weekends and Public Holidays. Reports can be generated to discover which employees have not submitted timesheets, how many hours have been accrued by the employees of each Work Centre or Cost Centre.

To open the Timesheet Payroll Report select Production → TSPayroll from the aeonscope Image:aeicon.jpg icon in the taskbar.

  • Enter a date into the 14 day Period ending field. The report will include the data for this date and the 13 days preceeding.
  • Select the type of report to be generated - Missing will list all the employees who have not submitted timesheets for dates in the time period specified. Summary will provide an overview of the hours worked in each Work Centre and Cost Centere, broken down into daily increments.
  • If you wish to narrow the report to include only specific employees, use the Image:remind.jpg button to create a list of employees to base the report on. This will open the Employee window.

Use the Search/Lookup Image:search.jpg button to locate the employee record, then add the employee to the list by pressing the Add Image:add.jpg button. Continue until you have the list of Employees you wish to base the report on.

Viewing a Report

The View window is a good way of checking that there is data in your report before using the Prieview option.

When requesting a Missing report the View button will display a list of Employees, the dates they worked and the type of work they performed. Days that have no timesheet submitted are highlighted in yellow. Weekends and public holidays are shaded grey.

The Summary report will display a list of Employees and the hours worked in each Cost Centre, as well as the total number of hours for each Cost Centre.

Previewing a Report

The Preview Image:preview.jpg button will provide a thorough and easy to read break down of the requested report. The example below displays a Missing report - it lists the employees by name, the total hours worked and any days that timesheets have not been submitted.

Days will a series of asterisks ( ***** ) instead of a number denote a missing timesheet. In the example above there was a Public Holiday on Thursday the 26th. Times are noted for employees that worked over the holiday, but those employees who did not work do not have their timesheet marked as missing.

Exporting Data

There are two different ways to export the data from the aeosncope TSPayroll reports. The methos you choose will depend on what you wish to do with the data. To create spreadshets and reports please refer to Exporting to a Spreadsheet. To import the data into your Payroll program please refer to Exporting to a Payroll Program

To a Payroll Program

In the Timesheet/Payroll window specify the date range and type of Report - either the Summary or Worked reports. Click the View Image:view.jpg button. The results will display in the lower half of the window.

From the Payroll menu at the top of the window select Save Export or click on the Image:disk.jpg button.

A windows Save As dialogue box will open asking where you would like to save the resulting .dat file. Name the file and save it somewhere you will be able to find easily. Click Ok.

Please refer to your spreadsheet program's help documentation for information on importing the data.

To a Spreadsheet

Once a report Preview has been created it is possible to export the resulting data to another program. This may be useful for creating spreadsheet based reports for your company.

To begin the Export process click on the Image:email.jpg button at the top of the window. You may get an eror message about your email client at this point. Please disregard this message. A dialogue window will ask you how you would like the data to be exported.

There are many options available, but if you wish to use the data in a spreadsheet the Comma Seperated Value (CSV) is the option you should select. This file will be compatible with Excel. Setting the Destination to Disk file will prompt the computer to ask you where you would like to save the file. Click Ok.

A new window will ask if you wish to use the aeonscope formatting, or just export the raw data.

Click Ok.

Your computer will now ask where you wish to save the CSV document.

Microsoft Excel Pivot Tables can be used to great advantage to organise and compare the data generated from Payroll Reports.
