From aeonscope

aeonscope is a complete accounting and project management system for medium to large sized organisations.

aeonscope offers standard General Ledger, Accounts Payable & Receivable modules plus job costing, time recording, production tracking and decision cube analysis functions to help you track workflow, streamline your billing and analyse your business.

aeonscope runs on standard IBM PC’s and compatibles, running Microsoft Windows 98, ME, NT, 2000 or XP.

aeonscope uses the Oracle database to store all its information. Oracle is the world's most powerful database, and runs on many computing platforms, so you can choose what is right for your business. Oracle runs on Linux, Microsoft NT, Sun, IBM mainframes and many others, so you can scale your hardware as required. Our preferred server platform is Linux since it offers unprecedented reliability and affordability.

Launching & Logging in to aeonscope

By default aeonscope should launch whenever you startup your computer and prompt you for your username and password.

Enter the username and password given to you by the aeonscope administrator at your workplace and click the OK button. The aeonscope icon Image:aeicon.jpg will be added to the system tray (next to the time in the lower right of the computer screen.)

If this does not occur search your computer for the file runaeonscopelaunch.exe. This is the aeonscope program file. Doubleclick on it to launch aeonscope. You may wish to create a shortcut to this file on your desktop.

aeonscope basics

When aeonscope is running on a Windows computer the aeonscope icon Image:aeicon.jpg will appear in the taskbar (next to the time). Clicking the aeonscope icon will display the list of aeonscope functions.

These are the general icons which are found throughout aeonscope. If a short cut key is available it will be defined in brackets.

Searching/Lookup

The Search or Lookup functions in aeonscope is one of the most powerful tools for using your database. Knowing how to get the most out of Lookup can save you time and frustration. The entire database is available for you to search so that you can find the information you are seeking - whether you know exactly what you are looking for, or only have a vague idea. You might like to think of it as a way to 'google' your database.

Wherever you see the search/lookup icon Image:search.jpgyou are able to drill down further to see more information, or search for a particular person/contact/item.

Depending on which area of aeonscope you are working with the fields in the lookup window will be different. The example above is from the Contacts area.

Enter a search query in one of the fields. Choosing the right search terms is the key to finding the information you need. Start with the obvious – if you're looking for information on Mr J Robinson, try Robinson. You can enter as much or as little information as you like. You can even enter no information at all to display all entries in your database. (If you do this please allow aeonscope a little time to display all the results). Click Search, Image:start.jpg or Alt + S to activate the search.The results will be displayed in the list at the bottom of the window.

The search will return anything containing the word you type. For example, if you search for the name 'Rob', results for that search would include any entry in your database that includes 'rob' in the Name field; eg: Robert, Robyn, Robertson, Robinson, Aerobic, Latrobe etc. This can be very useful if you cannot find an entry you would expect to be in the database - if a search for the full name does not reveal a result, try searching for part of the name.

Before typing new information to conduct a new search you will need to press the Image:clear.jpg button or the keyboard shortcut Alt + C to clear all the searchable fields.

If you choose to perform a search which will return a large number of results it can take a long time for the results to display. To Cancel the search click on the Image:stop.jpg button.

Wildcards

aeonscope uses the % symbol as a wildcard indicator in it's Search/Lookup function. This is very useful if you can only remember part of a name or address. For example, if you can only remember that a street name begins with B and that it ends with 'view', and you're not sure which suburb it is in, typing b%view will bring you a list of all locations that fit that description.

Date Fields

aeonscope has a number of built-in keyboard shortcuts to assist in the rapid entry of dates or date ranges into any date fields.

The most basic shortcuts include:

  • TOD: todays date
  • YES: yesterday's date
  • TOM: tomorrow's date
  • -7d: 7 days ago
  • +7d: One week from today

When entering dates the standard day/month/year format is used, although you only need to use the last of the four year digits for the year, eg: 17 January 2005 can be abbreviated to 17/1/5 or if you don't enter a year, aeonscope will assume the current year.

The shortcuts can also be combined. If you wish to see all the results from the beginning of the year to today, your query might look like this: 1/1..TOD

Where ever you see a Date field followed by three dots (eg Date ...) this indicates that you can enter a date range.

Use .. between dates to enter a date range. If you wanted to find all the results for a period between January and June of 2004 your date range could be entered as 1/4..6/4

For a search encompasing an entire year, typing the single number for the year is all that is required: to see all the results for 2002, enter 2

Or for date ranges, you can use the specialised date lookup window which can be accessed through the Calendar Image:calendar.jpg button. An Example of this is in the Quote Lookup window.

Clicking on the Calendar Image:calendar.jpg button will open the Date Range window:

Select the date or date range you require and then click OK. The corresponding dates will be filled in when you return to the previous window.

Lookup Lists

There are many places in aeonscope Lookup windows where you are able to search for results relating to a list of criteria. For example you may be searching for all acount activity for a list of your company's Debtors, or a list of Jobs relating to specific Suburbs. If you know the Codes for each of the items in a list then all you need to do is enter each code in the lookup Code field, seperated by a comma. Often you won't know all the Codes for a list. In this situation the Lookup List window, often represented by the Image:remind.jpg button, can help.

The example below is the Debtor Invoice Report window. You can see the List Image:remind.jpg button next to the Reduce By Debtors and Reduce By Work Centeres fields.
Clicking on the Image:remind.jpg button will open the List of ... (Debtors in this instance) window.
Clicking on the Image:search.jpg button will open the Lookup windows as described in the section above. Use the fields to locate the appropriate record, then doubleclick on the record in the list - or highlight the record and click the Image:save.jpg button. This will return you to the List window with the record details in the fields at the top of the window.
Click on the Image:add.jpg button to add the record to the list.
Continue to use the Image:search.jpg and Image:add.jpg buttons to create a list. When the list is complete click on the Ok button.

Multiple Windows

aeonscope has the ability to have mutltiple instances of the same window open at one time for you to be able to compare information. For Example, if you were creating a new Production Item, but wanted to be able to use an older Item as a reference, you would first open an Items window and begin a new Item, then click on the aeonscope Image:aeicon.jpg in the taskbar to open another Item window.

The only exceptions to this are Contacts, Timesheets and Requests, which there can only be one instance of at any one time as these are made to run very quickly and load themselves into memory. In these programs, there is a Log out button which must be used when disconnecting from one connection (eg. state) to another.

Navigating the aeonscope windows

It is possible to navigate your way throughout aeonscope without using the mouse. Use the Tab key to switch between fields. Holding down the Shift key and then pressing Tab will move you through the fields in reverse order. Some of the fields in any given window may have a shortcut key assigned to them. To move directly to that field hold down the Alt key and then press the specified shortcut key. The visual clue to a shortcut key can be found by looking at the name of the field - the underlined letter is the shortcut key.

In the Contacts Lookup window example at the top of this page, holding down the Alt key and pressing the A key would take you to the Name field, Alt + D will take you to the Address field, Alt + U will take you to the Suburb field and so on.

Wherever an icon/button is located at the end of a field, pressing Alt + ↓ will activate that button. In the Contacts Lookup window you can activate the Suburb Lookup window by first navigating to the Suburb field using the keyboard shortcut Alt + U, then using Alt + ↓ to launch the Suburb Lookup window.

Changing Your aeonscope Password

aeonscope passwords can only be changed by users granted the ability to run the aeonscope admin program.

To run the admin program, from the aeonscope icon Image:aeicon.jpg in the taskbar, select Admin → User Admin

If you suspect someone else knows your password or you'd just like to change it, please contact your company's aeonscope administrator to request that your password be changed.
